Keeping track of business goals can feel overwhelming—especially when your data is scattered across spreadsheets, Google Analytics, and random notes. If you’re not measuring progress properly, how do you know if your strategies are working?

Let’s say your goal is to increase website traffic by 50% in six months. One week, you check Google Analytics. Another, you jot down notes about SEO changes. But without a structured system, it’s hard to connect your efforts with actual results—leading to a lot of guesswork instead of data-driven decisions.

I don’t want to toot my own horn too much, but I found that this template strikes a balance between structure and flexibility, ensuring that you can track what matters without getting lost in unnecessary details.

The design process, aka how I built a Notion goal tracker

1. Understanding the needs

Before jumping into Notion, I outlined what this system needed to do:

  • Allow users to set clear business goals (using the SMART framework)

  • Track KPIs relevant to each goal

  • Store and visualise performance data over time

  • Provide a dashboard view for easy decision-making

I focused on making it actionable, simple, and scalable—ideal for solopreneurs and small business owners.

2. Drafting the structure

I always start with a rough plan—either on paper or Miro. This helps me map out how different databases will interact. For this tracker, I had on my list:

  • A Goals database to store SMART goals

  • A KPIs database to track metrics linked to each goal

  • A performance log to record monthly data

  • A dashboard view for quick insights

With this structure in mind, I moved into Notion to build it.

3. Setting up in Notion

Goals database

  • Each goal follows the SMART goal framework: Specific, Measurable, Achievable, Relevant, and Time-bound. Example: "Increase organic traffic by 50% in six months."

  • I included properties such as Timeframe, a rollup to show progress against a target number, a cool formula to show the quarter for which you plan to achieve the goal, and of course, I linked this database to the KPIs database.

KPIs database

  • Stores all key performance indicators. Example KPI: Monthly Organic Traffic Growth (tracked in unique visitors).

  • Linked to the relevant goal for better tracking.

Performance log

  • This is where you log your data.

  • Linked to KPIs to track month-on-month progress.

  • Uses relations and rollups to pull in data dynamically.

  • Includes a pre-built chart to visualise whether key metrics are improving over time.

4. Making it pretty and shareable

Once the functional setup was ready, I refined the aesthetics:

  • Minimalist dashboard design for clarity

  • A chart for visual progress tracking

  • Quick-action buttons to add new goals or KPIs easily

The final result? A system that keeps your business growth on track without adding extra admin work.
