How to Create a Content Calendar (+ Free Notion Template)
If you’re diving into digital marketing for your business or creating your own content strategy, you’ve likely come across the term "content calendar." But what exactly is a content calendar, how can it help your business, and—most importantly—how can you create one that actually works?
Read on to learn everything you need to know about content calendars, and grab my Multi-Platform Content Hub template (it’s free!) to streamline your workflow and take the guesswork out of content planning.
What is a content calendar?
A content calendar (also known as an “editorial calendar”) is a structured schedule and workflow that helps entrepreneurs, businesses, teams, whoever, plan, create, publish, and track content across multiple platforms. Whether you're a solopreneur or part of a team, having a content calendar helps you stay consistent, organised, and focused on your goals.
Why do you need a content calendar?
1. Post more consistently
Consistency is key when it comes to marketing. A content calendar helps you plan and schedule content in advance, ensuring you always know what to post, when, where, and why.
2. Save time and reduce overwhelm
Say goodbye to last-minute scrambling for post ideas! With a content calendar, you can batch-create content, streamline your workflow, and stay ahead of schedule. Check out how the system I built for Good On You helped them save 50% of their time.
3. Scale your strategy
Once you have a solid system in place, you can expand your strategy, experiment with new formats, or introduce multiple content streams without feeling overwhelmed.
4. Improve content quality
Planning ahead gives you the space to refine your messaging, review your drafts, and create more polished, high-value content. No more rushed, low-quality posts!
5. Simplify team collaboration
If you're working with a team, a content calendar ensures everyone knows their tasks, deadlines, and responsibilities, improving overall efficiency and alignment.
How to create a content calendar
Now, let's get into the practical steps to build your content calendar. If you want to skip the setup and start right away, check out my Multi-Platform Content Hub—a ready-to-use Notion template designed to make content planning effortless.
1. Choose the right tool
While some people use Trello, Asana, or Google Sheets, I recommend Notion for its flexibility, customisation, and automation features. My Multi-Platform Content Hub template gives you a centralised, easy-to-navigate dashboard where you can plan, track, and manage content across multiple platforms.
2. Define your goals
Each piece of content should serve a purpose. Are you aiming to drive traffic, generate leads, increase brand awareness, or boost engagement? Notion’s database properties make it easy to assign goals to each piece of content, so you can track performance over time.
3. Brainstorm topics and content pillars
To maintain variety and consistency, define 3–5 core content pillars that align with your brand and audience’s interests. In my Notion template, you can categorise content ideas under these pillars and track their distribution.
4. Select your platforms
Instead of trying to be everywhere, focus on the platforms where your audience is most active. My template allows you to track different channels and tailor your content for each one.
5. Decide what to track
A robust content calendar should include:
Content title and format
Platform(s)
Status (idea, drafting, editing, scheduled, published)
Publish date
Goal and content pillar
Links to assets (graphics, videos, documents)
My Multi-Platform Content Hub template includes all these key elements, so you don’t have to build your system from scratch.
6. Establish your workflow
Define your content creation process, from ideation to publication. Do you need to draft a post a week in advance? How often do you repurpose content? Notion’s kanban board and calendar views help you visualise your workflow effortlessly.
7. Review and optimise
Regularly assess your calendar to see what’s working and where you can improve. Notion’s built-in analytics and tracking properties help you make data-driven decisions.
